Privacy Policy

SOPEONOW (“SOPEONOW”, “we”, “us”, or “our”) provides a real-time hospital operations platform. This Privacy Policy explains how we collect, use, disclose, and protect personal information when you visit our website at https://www.sopeonow.com (the “Website”) and interact with our sales, marketing, and support activities.

Scope — please read. This policy covers personal information about Website visitors and prospective or current business contacts. It does not cover patient, clinical, or operational data that hospitals process using the SOPEONOW platform. Where we host or process such data for a customer, that customer is the data controller and we act as a data processor; our handling of that data is governed by our services agreement and Data Processing Agreement (DPA) with that customer, not by this policy.

We aim to handle personal information in line with applicable data-protection laws, including the EU and UK General Data Protection Regulation (GDPR), India’s Digital Personal Data Protection Act 2023, the UAE Personal Data Protection Law (Federal Decree-Law No. 45 of 2021), Malaysia’s Personal Data Protection Act 2010, and the Philippines’ Data Privacy Act 2012, as applicable to you.

1. Who is responsible for your information

2. Information we collect

Information you provide to us

Pilot or demo requests: your name, work email address, hospital or organization name, approximate organization size, and any message you include.
Brochure requests: your name, company, work email address, and the product you’re interested in.
Other communications: any information you choose to provide when you email or otherwise contact us.

Information we collect automatically

When you use the Website, our own first-party analytics collect limited technical and usage information, including:

a randomly generated session identifier and visitor identifier, stored in first-party cookies (see Section 4);
pages viewed, time on page, scroll depth, and interactions such as clicks on buttons and content;
the website that referred you and any campaign parameters (for example, UTM tags) in the link you followed;
your device type, browser, and operating system;
your approximate country, derived from your network provider or our content-delivery network; and
a one-way, salted cryptographic hash of your IP address. We do not store your raw IP address in our analytics.

We use our own first-party analytics rather than third-party advertising trackers.

3. How we use your information, and our legal bases

To respond to your requests and provide information you ask for — to take steps at your request before entering a contract, and our legitimate interest in responding to enquiries.
To communicate with you about SOPEONOW, including relevant updates — your consent where required, and/or our legitimate interest in marketing our services to organizations. You can opt out of marketing at any time.
To operate, secure, and improve the Website and understand how it is used — our legitimate interest in running and improving the Website.
To comply with legal obligations and to establish, exercise, or defend legal claims — compliance with law and our legitimate interests.

Where we rely on legitimate interests, we have weighed those interests against your rights and freedoms.

4. Cookies and similar technologies

The Website uses a small number of first-party cookies that support its operation and our own analytics:

sa_sid — a session identifier that expires after about 30 minutes of inactivity;
sa_vid — a visitor identifier that expires after about 24 months.

These cookies do not follow you across other websites and are not used for third-party advertising.

Video. Our overview video is embedded using YouTube’s privacy-enhanced mode (youtube-nocookie.com) and loads only if you click to play it. YouTube may set its own cookies at that point; its use of information is governed by Google’s privacy policy.

Do Not Track. Most web browsers and some mobile operating systems and mobile applications include a Do-Not-Track (“DNT”) feature or setting you can activate to signal your privacy preference not to have data about your online browsing activities monitored and collected. At this stage, no uniform technology standard for recognizing and implementing DNT signals has been finalized. As such, we do not currently respond to DNT browser signals or any other mechanism that automatically communicates your choice not to be tracked online. If a standard for online tracking is adopted that we must follow in the future, we will inform you about that practice in a revised version of this policy.

5. How we share information

We do not sell your personal information. We share it only:

with service providers who process it on our behalf (for example, cloud hosting and email-delivery providers) under contracts requiring appropriate safeguards;
where required to comply with law, regulation, legal process, or an enforceable governmental request;
to protect the rights, safety, and property of SOPEONOW or others; and
in connection with a merger, acquisition, financing, or sale of assets, subject to this policy.

6. International transfers

We operate across multiple countries, including India, Malaysia, the Philippines, the United Arab Emirates, Kuwait, and Singapore. Your information may be transferred to, stored in, or processed in a country other than your own. Where we transfer personal information across borders, we use the safeguards required by applicable law, such as the European Commission’s Standard Contractual Clauses or an equivalent mechanism.

7. Data retention

We keep personal information only as long as necessary for the purposes in this policy:

enquiry and lead information for up to 56 months after our last interaction, unless you become a customer or ask us to delete it sooner;
analytics information in identifiable form for up to 56 months, after which it is aggregated or deleted.

8. Security

We use technical and organizational measures designed to protect personal information, including encryption in transit (HTTPS), storing IP addresses only as salted hashes for analytics, access controls, and limiting staff access to those who need it. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

9. Your rights

Depending on your location, you may have some or all of these rights: to access your personal information; to correct inaccurate information; to delete it; to restrict or object to processing; to data portability; and to withdraw consent at any time (without affecting processing already carried out). To exercise a right, contact us at dataprivacy@sopeonow.com; we will respond within the time required by applicable law. You also have the right to complain to your local data-protection authority.

10. Region-specific information

EEA / UK (GDPR). Our legal bases are in Section 3 and your rights in Section 9; you may complain to your supervisory authority.
India (DPDP Act 2023). You may access, correct, and erase your personal data and nominate another person to exercise your rights.
United Arab Emirates (PDPL). We process personal data in accordance with Federal Decree-Law No. 45 of 2021 and provide the rights it grants.
Malaysia (PDPA 2010) & Philippines (DPA 2012). We handle personal data in accordance with these laws and honor the rights they provide, including access and correction.

11. Children

The Website is intended for healthcare professionals and organizations and is not directed to children. We do not knowingly collect personal information from children under 18. If you believe a child has provided us information, contact us and we will delete it.

12. Third-party links

The Website may link to or embed third-party content (such as YouTube). We do not control and are not responsible for their privacy practices; please review their policies.

13. Changes to this policy

We may update this policy from time to time. We will post the updated version here and revise the “Last updated” date; material changes will be communicated as required by law.
